How to Create an Event

Navigate to the create an event page, accessible from the Events dropdown in the navigation bar. If you're unable to access the page, it's because you have not linked your account to a store profile and claimed the Tournament Organizer role. A walkthrough on how to link your account to a store profile is located at the bottom of this page.

Name

This is where you can name the event so that it’s easy to find and identify by judges and players.

Event Type

This defaults to Planetary Qualifiers, as we expect those events to utilize this tool the most. However, you can select any official event structure, as well as select general unofficial events.

Tournament Organizer

You must select an organizer from among the organizers you’re associated with.

Email Contact

This defaults to your primary email, but you can adjust it in case you’re not the individual who will be managing the staffing decisions.

City, Country and State, Province, or Region

These key pieces of location information allow judges to determine how far away the event is and sets up the notifications. Currently, the default is to notify only judges in your country, or for the United States, only judges in your state. After selecting the country or state that the event is in, you’re able to select up to five additional countries or states in which to notify judges.

We have this limitation in place to reduce the number of notifications judges receive about events that are not feasible for them to travel to. If this restriction is a significant barrier to you staffing events, please let us know at .

Location Details

This allows you to add additional details, such as a venue address or a hall number for events that take place at larger venues.

Start Date, End Date, Application Deadline

It’s also important for judges to know when the event will take place, and when they need to have their application to work the event submitted. The application deadline defaults to one week after the start date, but can be adjusted.

Staff Sought and Compensation

Here, you can identify what roles you need to hire to help encourage only judges who are interested in the role and qualified to apply. There’s also a field for compensation. It is important to always appropriately compensate judges for the work they provide in accordance with local labor laws.

Once you've completed the event, you can hit submit, and an email will be sent to judges in the event's region, in addition to the other regions you selected. Judges can then reach out to you directly to submit their applications and demonstrate interest. In time, we hope to improve on this tool, allow for judges to apply to events directly through the website, and make it so that you can see all of the applications in one place, to make your planning easier. We're always open to feedback, and this is just the first step in creating tools to help make your life that little bit smoother.

Linking to Your Store Profile

Follow the steps below to link your account to your store profile. If you're not able to find your store through the Organizers search, please fill out this form and the Program Director will be in touch.

  1. Create an account at https://nexus.cascadegames.com/
    1. We recommend using the same email that is associated with your store if you want to use this as a TO account.
    2. If you have an existing account, you can add an additional email through https://nexus.cascadegames.com/accounts/email/ which will allow you to act as a TO with that account.
  2. Associate your Nexus account with your store by going to https://nexus.cascadegames.com/organizers/
    1. Use the search function to find the name of your store and click on the name to enter the store’s profile page.
    2. On this page, you will be able to see all accounts associated with this store as well as link your account to the store by clicking the LINK ACCOUNT button.
    3. Select your role at the store.
    4. This process will check your verified email against our database of stores we’ve received from our partners at FFG.
    5. You’ll automatically be granted the Tournament Organizer role if your email
      1. Matches the email we have on file exactly and has a generic email (YourStore@gmail.com etc)
      2. Matches the domain for your store. (Name@YourStore.com)
